What are Seller and Buyer Views?

Quotable adapts to how you use the platform, whether you're selling products and services (Seller View) or purchasing and procuring (Buyer View). Each view displays relevant documents, features, and workflows specific to your role, eliminating clutter and focusing on what matters for your business operations.

Seller View

What Sellers See

Sellers focus on creating quotes, managing sales orders, invoicing, and collecting payments. Your view emphasizes outbound sales and fulfillment workflows.

Primary Features:

  • Quote Builder: Create and send quotes in minutes

  • RFQs: View and respond to buyer requests for quotations

  • Sales Orders: Manage all buyer orders and fulfillment

  • Invoices: Generate invoices and collect payments

  • Deliveries: Track shipments and confirm deliveries

  • Payments Received: Monitor incoming payments and verify collections

Seller Dashboard Access:

  • Quotes dashboard (create, track, manage quotations)

  • Sales Orders dashboard (orders to fulfill)

  • Invoices dashboard (billing and payment collection)

  • Deliveries dashboard (shipment tracking)

Buyer View

What Buyers See

Buyers focus on requesting quotes, comparing suppliers, creating purchase orders, and managing payments. Your view emphasizes procurement and payables workflows.


Primary Features:

  • Request for Quotes (RFQs): Create RFQs and invite suppliers to bid

  • Quote Comparison: Review and compare submitted supplier quotes

  • Purchase Orders: Create and manage orders to suppliers

  • Bills: Track payables and amounts owed to suppliers

  • Deliveries: Monitor incoming shipments and confirm receipt

  • Payments: Pay suppliers and track payment status

Buyer Dashboard Access:

  • RFQs dashboard (create requests, review quotes)

  • Purchasing dashboard (manage Purchase Orders)

  • Bills dashboard (payables and amounts owed)

  • Deliveries dashboard (incoming shipment tracking)

  • Payment records (track what you've paid)

Document Visibility by View

Seller-Owned Documents (Visible in Seller View):

  • Quotes: Quotations you create and send to buyers

  • Sales Orders: Orders you need to fulfill

  • Invoices: Bills you send to buyers for payment

  • Delivery Records: Shipments you create and track

  • Payment Records: Payments you receive from buyers

Buyer-Owned Documents (Visible in Buyer View):

  • RFQs: Requests for quotations you create

  • Purchase Orders: Orders you send to suppliers

  • Bills: Your internal payables records

  • Delivery Records: Shipments you're receiving

  • Payment Records: Payments you make to suppliers

Note: Both views can see shared documents like Delivery Records and Payment Records from their respective perspectives.


Workflow Differences

Seller Workflow

Quote → PO → SO → Invoice → Delivery → Payment

  1. Respond to buyer RFQs or create quotes

  2. Receive Purchase Orders from buyers

  3. Accept PO and confirm via Sales Order

  4. Create invoices to request payment

  5. Ship goods and track deliveries

  6. Collect payments via Quotable Payments

Focus: Outbound sales, fulfillment, and payment collection


Buyer Workflow

RFQ → Quote → PO → Bill → Delivery → Payment

  1. Create RFQs and invite suppliers

  2. Compare submitted quotes

  3. Accept winning quote and create Purchase Order

  4. Receive Bills when suppliers invoice

  5. Confirm delivery receipt

  6. Pay suppliers via Quotable Payments or record offline payments

Focus: Sourcing, procurement, and payables management


Account Types and Views

Buyer Account Type

Company profile with buyer permissions only. Can only act as buyer when using Quotable. Access to RFQs, Purchase Orders, Bills, and buyer-side payment features.

Seller Account Type

Company profile with both buyer and seller permissions. Users can act as either buyer or seller in any transaction. Access to all features, can create quotes, respond to RFQs, create POs, manage bills, and handle both selling and buying workflows.

Most companies are Seller account types to support both buying from suppliers and selling to customers.


Switching Between Views

Dual-Role Companies

If your company both sells and buys (Seller account type), you can switch between perspectives based on the transaction. When working on sales to customers, use seller features (Quotes, SOs, Invoices). When procuring from suppliers, use buyer features (RFQs, POs, Bills).

View Selector

The Buyer/Seller View dropdown in the top navigation allows you to switch context if your account has both permissions. Select the appropriate view for your current task.


Document Context

Documents automatically appear in the correct view based on your role in that transaction. If you're the seller, it shows in seller view. If you're the buyer, it shows in buyer view.

Team Collaboration Across Views

Role-Based Permissions

Team members have different roles that determine their view access:

  • Finance roles: Can create invoices (seller) and bills (buyer)

  • Sales roles: Can create quotes and sales orders (seller only)

  • Purchasing roles: Can create purchase orders and RFQs (buyer only)

  • Logistics roles: Can create delivery records (both views)

  • Admin roles: Full access to all features in both views

Shared Features:

  • Contact Book (accessible in both views)

  • My Products catalog (used by both sellers and buyers)

  • Deliveries (tracked from both perspectives)

  • Payment Records (visible to both parties)

  • Team settings and company profile
