What is My Products?

My Products (Product Information Management) is your master product catalog within Quotable. It's where you store all product details, brand, SKU, pricing, suppliers, descriptions, and images, so you can quickly add items to any document without retyping information every time.

Creating Products

Method 1: Manual Product Creation

Click + Add Product in My Products > +Add Product Manually. Fill in product details including brand, MPN (Manufacturer Part Number), SKU, product name, description, specifications, pricing (SRP, sales price, unit cost), and category. Upload up to 5 product photos via URL. Save as draft or publish immediately.

Method 2: Add from Quotable Catalog

Click Search Catalog to access 100M+ pre-loaded SKUs. Search by product name, brand, or MPN. Select items to add to your catalog. Product information auto-populates based on availability (brand, MPN, name, description, images,). Edit pricing and supplier details to match your business.

Method 3: Bulk Upload via CSV

Download the product upload template. Fill in product information in Excel (brand, MPN, SKU, pricing, suppliers, categories). Upload the completed CSV file. System validates data and imports products in bulk. Perfect for adding hundreds of products at once.


Product Information Fields

Basic Product Details:

  • Brand: Manufacturer or brand name

  • MPN: Manufacturer Part Number

  • SKU: Your internal stock keeping unit code

  • GTIN: Global Trade Item Number (barcode)

  • Product Name: Clear, searchable product title

  • Description: Detailed product information

  • Specifications: Specs and bullet list information

Pricing Information:

  • SRP: Suggested Retail Price

  • Sales Price: Your selling price to buyers

  • Unit Cost: Your cost from suppliers

  • Price: Default price used in quotes

Product Media:

  • Photo URLs: Up to 5 product images

  • Upload via URL or file upload

Organization:

  • Category: Product classification (based on PIM categories)

  • Tags: Custom labels for filtering and search

  • UOM: Unit of Measure (pcs, box, set, etc.)

  • VAT Status: VAT or Non-VAT item

Supplier Information:

  • Supplier Company Name: Link to supplier contacts

  • Multiple Suppliers: Add multiple suppliers per product

  • Supplier Pricing: Track different supplier costs (Coming Soon)

NOTE: Company (Supplier) must be added to your company contacts prior to importing the product template.

Managing Your Product Catalog

Search & Filter Products

Search by product name, brand, MPN, or SKU. Filter by category, tags, supplier, or VAT status. Sort by name, price, or recently added to find products quickly.

Edit Product Details

Click any product to edit information. Update pricing, add new suppliers, change descriptions, or upload better images. Changes apply across all future documents, past documents remain unchanged.

Organize with Categories & Tags

Assign products to categories (IT Equipment, Office Supplies, Hardware, etc.) for better organization. Add custom tags for additional filtering (Bestseller, Seasonal, Clearance, Premium).

Track Supplier Pricing (Coming Soon)

Add multiple suppliers per product with different pricing. Compare supplier costs when creating purchase orders. System highlights best pricing automatically.


Using Products in Documents

Add to Quotes & RFQs

When creating quotes or RFQs, search your product catalog and add items with one click. All product details, pricing, and descriptions auto-populate. Adjust quantities and pricing as needed.

Add to Purchase Orders

Search products when creating POs. System shows linked suppliers and their pricing. Select supplier and add to PO with pre-filled product information.

Add to Invoices

Products added to sales orders flow automatically to invoices. Pricing and descriptions carry forward for consistency.


Importing & Exporting Products

CSV Upload Templates

Download pre-formatted templates for:

  • New Products: Add products not in your catalog

  • Product Updates: Update pricing or details for existing products

  • New Supplier: Add new supplier pricing for existing products

  • Supplier Updates: Update existing supplier information

Export Functionality (Coming Soon)

Export products you've manually created or uploaded (full export with all fields). Products from Quotable Catalog have limited export (Product ID, Name, MPN, Suppliers, SRP, Sales Price only). Use exports to update pricing in bulk or share with your team.

File Format Validation

System accepts CSV files only. Validates required fields (Product Name, Brand, SKU) before import. Shows error report for invalid entries to fix before re-upload.


Quotable Catalog Integration

Access 100M+ SKUs

Click Add from Catalog to browse pre-loaded products. Search by name, brand, category, or product type. Add items to your catalog with one click, no manual data entry.

Edit Imported Products

Products from the Quotable Catalog can be edited: update pricing, add your suppliers, change descriptions, or add tags. Customize to match your business needs.


Product Catalog Best Practices

Start with Your Top Products

Add your 20-50 most frequently quoted products first. Expand your catalog over time as you create more quotes and orders.

Use Consistent Naming

Create a naming convention for products: "Brand - Model - Specification" (e.g., "Dell - Latitude 5540 - i7/16GB/512GB"). Makes search and filtering easier.

Update Pricing Regularly

Review and update product pricing quarterly or when supplier costs change. Use bulk CSV updates for efficiency.

Add Multiple Suppliers

Track 2-3 suppliers per product for price comparison and backup sourcing. Helps during stock-outs or price negotiations.

Use High-Quality Images

Upload clear product images (5 photos max). Visual product catalogs improve buyer experience and reduce questions.

Leverage Tags

Tag products strategically: "Fast-Moving," "High-Margin," "Seasonal," "Clearance." Enables quick filtering when creating quotes.
