Inviting Suppliers to RFQs (Verified vs External)

Verified suppliers are suppliers who you have invited to Quotable AI to be part of your private supply chain your network. These are suppliers you already know and trust.

They appear in your Contact Book as Active if they've claimed their Quotable account.

Verified suppliers who have activated their Quotable account can receive RFQ notifications in their dashboard and via email, can submit quotes directly from their account, and have access to transaction history with you.

Benefits:

The supplier can still submit quotations via no-login links streamlining your RFQ process.

External suppliers don't have Quotable accounts but can still participate in your RFQs. They receive RFQ invitations with secure no-login share links, can view your requirements without creating accounts, submit quotes by uploading files or entering details.

Benefits:

When creating an RFQ, click Contacts in the "Send request to existing suppliers" section. Your Contact Book opens showing all suppliers in your network. Search by company name or contact person. Select individual suppliers by clicking Select next to their name. Click Apply to add them to your RFQ invitation list.

Search for supplier groups you've created (e.g., "Laptop Suppliers," "Hardware Vendors"). Select one or multiple groups. System shows total number of suppliers being invited across all selected groups. All suppliers in the groups receive RFQ invitations when you submit.

After creating your RFQ or from the RFQ detail page, generate a shareable link. Copy the link and send it to any supplier via email, messaging apps (WhatsApp, Viber, Slack, Messenger), or other communication channels. Suppliers click the link to view your RFQ and submit quotes, no account required.

RFQ appears in their dashboard under "RFQs" menu. Click to view full requirements and submission form. Create quote using Quotable's advanced quote builder. Submit directly, you're notified immediately.

Receive RFQ with no-login share link. Click link to see requirements without login. Upload existing quote file or enter quote details. Submit quote, you receive notification and quotation in real time. No more manual workflows and spreadsheets!

When external suppliers submit quotes, you can invite them to create Quotable accounts. Click Invite to Network from their submitted quote. They receive invitation email to register. Once registered, they become part of your supplier network for faster future transactions.

All submitted quotes, whether from verified or external suppliers, appear in your RFQ dashboard. Compare quotes side-by-side regardless of supplier account status. Review pricing, terms, and delivery details uniformly. External supplier quotes are treated identically to verified supplier quotes.
