What is Manual Smart Quotation?

Manual Smart Quotation combines the flexibility of manual quote creation with intelligent profit calculations. Add products manually or select from your My Products catalog, and the system automatically calculates your profit based on margin, markup, or discount settings.

Smart Profit Calculations

Calculate by Margin

Enter your desired profit margin percentage. The system automatically calculates the sales price based on your unit cost to achieve that margin. For example, 20% margin on a $100 unit cost results in $125 sales price.

Calculate by Markup

Enter your markup percentage. The system adds the markup to your unit cost to determine sales price. For example, 25% markup on $100 unit cost results in $125 sales price.

Calculate by Discount

Enter discount percentage from SRP (Suggested Retail Price). The system calculates the discounted sales price automatically. For example, 10% discount on $1,000 SRP results in $900 sales price.

Auto-Calculate Totals

As you enter quantities and pricing, subtotals, taxes (VAT), and grand totals update automatically. No manual calculations needed.


Organizing Products with Sections

What are Sections?

Sections allow you to group related products within a quote for better organization and clarity. Instead of one long product list, organize items into logical groupings that make sense for your quote.

How to Add Sections

When creating your quote, click Add new section before adding products. Name your section (e.g., "Option 1," "Office Equipment," "Phase 1"). Add products to that section. Click Add new Section again to create additional sections. Each section displays separately with its own subtotal in the printed quote.

Section Use Cases

Provide Different Options:

  • Option 1: Budget package with basic models

  • Option 2: Premium package with advanced features

  • Buyers can easily compare and choose between packages

Quote by Location or Area:

  • Office: Desks, chairs, computers for office space

  • Lobby: Reception furniture, signage, waiting area equipment

  • Warehouse: Storage racks, forklifts, inventory systems

  • Clear breakdown of what goes where

Organize by Category:

  • Hardware: Laptops, monitors, keyboards

Filling Out Quote Details

Header Information

  • Quote Number: Auto-generated (e.g., QU-001954)

  • Quote Date: Date quote is created

  • Quote Validity: Set expiration date for pricing

Prepared For (Buyer Information)

  • Company Name: Buyer's company

  • Contact Person: Buyer's name

  • Phone Number: Buyer's contact number

  • Email Address: Buyer's email

  • Address: Buyer's business address (street, city, province, postal code)

Ship To (Delivery Address)

  • Same as buyer information or different delivery location

  • Include complete address for accurate delivery planning

  • Delivery Instructions

From (Your Company Information)

  • Company Name: Your business name

  • Contact Person: Your name or sales representative

  • Phone Number: Your contact number

  • Email Address: Your business email

  • Address: Your company address

Pro Tip: Use Contacts to speed up the process of filling out the contact details

Currency

Select currency for the quote (PHP, USD, SGD, AUD, GBP, etc.). All pricing will display in chosen currency.

Payment Terms

Select from dropdown options or create custom terms:

  • Advanced Payment

  • With terms (enter number of days)

  • Down payment with terms

  • Check on Delivery

Payment Schedule

Define payment milestones and percentages:

  • X% due immediately

  • X% due due upon purchase order

  • X% due upon shipment

  • X% due upon delivery

  • X% due upon invoice date

  • Customize schedule based on your business terms by pressing +Add Schedule

Adding Products to Quotes

Add from My Products

Click Add Item and search your My Products catalog. Select products you've previously added with complete specifications, pricing, and images. All product details auto-populate including brand, model (MPN), description, unit cost, SRP, sales price, and product images.

Add Products on the Fly

Click on Add product manually and add items directly within the quote. The product will be saved into you My Product Catalog automatically.

  • Product Name: Clear product title

  • Brand: Enter Brand Name

  • MPN: Manufacturer Part Number (if applicable)

  • Category: Enter category

  • GTIN: Global Trade Item Number or UPC/EAN/JAN/ISBN

Pro Tip: Enter product name, brand and upload photo for the fastest workflow. You can add full product details after you finish the quote in My Products.

Product Comments

Add notes or special instructions per line item by pressing the +icon. Comments appear below each product on the printed quote.


Add Non-Line Items (Services)

Add shipping, installation, or other service fees:

  • Click +Add Item

  • Enter service description (e.g., "Shipping")

  • Enter quantity and price

  • Amount auto-calculates

Quotation Notes

Add general notes, terms, or instructions that apply to the entire quote. This section appears at the bottom of your quote and can include:

  • Special terms and conditions

  • Delivery instructions

  • Warranty information

  • Project timelines

  • Any additional clarifications

Standard Print (Quick Print)

Standard Print provides a clean, professional quote layout with essential information:

Included in Standard Print:

  • Company details and logo

  • Customer and shipping information

  • Sections with section headers (if used)

  • Line items with product names, MPN, quantities, unit prices, discounts, and amounts

  • Non-line items (services, shipping)

  • Subtotal, VAT (12%), and total amount due

  • Payment terms, payment schedule, and quote validity

  • Quotation notes

When to Use: Perfect for straightforward quotes where buyers already know the products and just need pricing and terms.

Advanced Print

Advanced Print includes everything from Standard Print plus complete product specifications and images for each line item:

  • Product Images: Up to 5 photos per product from My Products catalog

  • Product Specifications: Complete technical specs and features

  • Brand and Model Information: Full MPN and manufacturer details

  • Detailed Descriptions: Product features, A+ Content, benefits, and use cases

Print and Download Options

Print Directly

Click the Print button to print quotes directly from Quotable. Choose Quick Print or Advanced Print based on your needs. Your company logo appears on printed quotes automatically.

Download as PDF

Download quotes as PDF files for emailing or archiving. PDFs maintain professional formatting with your company branding. Share PDFs with buyers who prefer attachments over links.

Company Logo Branding

Upload your company logo in Settings. The logo appears on all printed and PDF quotes automatically for consistent professional branding.


Choosing Print Format

Quick Print Selection

From the quote detail page, click PrintQuick Print. Standard layout generates with customer details, shipping info, sections, line items, and pricing.

Advanced Print Selection

From the quote detail page, click PrintAdvanced Print. Comprehensive layout generates with all product images, specifications, and detailed information from your catalog organized by sections.

PDF Options Available for Both

Both Quick Print and Advanced Print formats can be downloaded as PDF. Choose your format, then select download or print to paper.
