Edit quotes to update pricing, products, or terms, then use Update & Send to notify buyers of changes. Track all revisions with complete quote history showing who changed what and when.

When to Edit Quotes

Before Sending

Edit draft quotes freely before sending to buyers. Update pricing, add or remove products, adjust quantities, change payment terms, or modify any details without restrictions.

After Sending

Edit sent quotes when buyers request changes, pricing needs adjustment, product specifications change, delivery timelines shift, or errors need correction. All edits are tracked in quote history.


How to Edit Quotes

Open the Quote

Go to your Quotes dashboard and click on the quote you want to edit. Click the Edit button at the top of the quote detail page.

Make Your Changes

Update any quote fields including:

  • Products: Add, remove, or modify line items and quantities

  • Pricing: Adjust SRP, discounts, or sales prices

  • Sections: Add, rename, or reorganize product sections

  • Payment Terms: Change payment conditions or schedules

  • Buyer Information: Update contact or delivery details

  • Quote Validity: Extend or shorten expiration date

  • Quotation Notes: Add or modify terms and instructions

  • Attachments: Upload or remove supporting documents

All fields can be edited with full quote editing capability.

Update & Send

After making changes, click Update & Send to save your edits and notify the buyer. The buyer receives an email with the updated quote and a link to view the latest version.


Update & Send Feature

What It Does

Update & Send combines saving your edits with resending the quote to the buyer in one action. When you click Update & Send, your changes are saved, a new version is created, and the buyer receives notification of the updated quote.

When to Use

Use Update & Send after making any edits to a previously sent quote that the buyer needs to see. Perfect for price negotiations, product changes, term modifications, or correcting errors.

Buyer Notification

Buyers receive an email notification when you Update & Send. They can click the link to view the latest quote version with all your changes immediately.


Quote History and Version Tracking

View History Button

Every quote has a View History button next to the Edit and Print buttons. Click View History to see the complete audit trail of all changes made to the quote.

Quote History Panel

The Quote History panel displays:

  • Date Updated: Timestamp of each change (e.g., Mon Oct 13 2025 3:00:34 PM)

  • Updated By: Name of user who made the change (e.g., Mark Musk)

  • Action: Link to view that specific version of the quote

Click View Quote next to any history entry to see exactly what the quote looked like at that point in time.

Version Tracking

Each time you edit and Update & Send, Quotable creates a new version. All previous versions remain accessible through View History. Buyers always see the latest version while you maintain access to complete revision history.


Changes Overview and Change Log

View Change Log

When viewing quote history, click View Change Log to see detailed breakdown of what changed between versions. The Changes Overview modal shows:

  • Update By: User who made the changes

  • Last Update: Timestamp of the modification

  • Old Value vs New Value: Side-by-side comparison of what changed

  • Remarks: Description of what field was updated

What's Tracked in Change Log

The system logs every field modification including:

  • Sales price changes (Products or Service)

  • Total amount updates

  • Before tax amount changes

  • Margin adjustments

  • Tax amount modifications

  • Individual product pricing

  • Quantities and line item changes

  • Payment terms and schedules

  • Any other quote field edits


Example Change Log Entry

Old Value: 35000 | New Value: 34000 | Remarks: Updated Sales Price (Products or Service)

This shows exactly what was changed from what value to what new value with clear description.

Quote History Page

Detailed History View

Click through from Quote History to see the full history page showing:

  • Quote Number: e.g., QU-009032

  • Related Transactions: Linked documents like RFQ # 9511

  • Note: Indication that calculations are for internal use and won't show on printed docs

  • Last Update: Most recent edit timestamp

  • Update By: User who made the last change

Breadcrumb Navigation

Navigate through: Quotes > QU-009032 > History > XXXX Version Number to track the complete quote journey.


Best Practices for Editing Quotes

Communicate Changes

Add notes explaining significant changes when using Update & Send. Helps buyers understand why revisions were made.

Track Buyer Requests

Use quotation notes to document buyer change requests. Makes it clear in history why edits were necessary.

Review Before Update & Send

Double-check all changes before clicking Update & Send. Verify pricing calculations, product details, and terms are correct.

Use Change Log for Disputes

If questions arise about what was agreed upon, reference the Change Log to show exact values at each stage of negotiation.
