Receiving Deliveries

Track incoming shipments, confirm receipt of delivered goods, and upload proof of delivery. View delivery details including tracking information and verify items received match your Purchase Order.

What is Receiving Deliveries?

Receiving Deliveries is the process of confirming that goods ordered have arrived at your location. When suppliers who are using Quotable ship items, they create Delivery Records with tracking information. You review delivery details, confirm receipt when goods arrive, and upload proof of delivery to complete the transaction.

  • Complete the order cycle from purchase to receipt

NOTE: We are working on an enhancement where you'll be able to receive deliveries and create delivery records from external suppliers (non-quotable users). This is currently in development.

Viewing Delivery Information

Access Deliveries

Go to Deliveries in your menu to see all incoming shipments. Click on any delivery to view complete details.

Shipping Information

View shipment details including:

  • Delivery Method: Courier or logistics provider (e.g., Lalamove, UPS, DHL)

  • Tracking Number: Courier tracking reference for monitoring

  • Ship Out Date: When supplier dispatched the goods

Deliver To Details

See delivery recipient information:

  • Customer Name: Person receiving the delivery

  • Contact Number: Phone for delivery coordination

  • Email Address: Email for notifications

  • Address: Complete delivery location

Products/Services for Delivery

Review items being delivered:

  • Quantity: Number of units shipped

  • Unit: Unit of measure (pcs, box, set)

  • Product or Service: Item descriptions with images

Delivery Status

Tracking Progress

Monitor delivery status as it updates:

  • Shipped/In Transit: Goods dispatched and en route

  • Out for Delivery: Package with courier for final delivery

  • Delivered: Goods arrived, awaiting your confirmation

Status Button

The green Delivered status button appears at the top when supplier marks shipment as delivered. This indicates goods should have arrived and are ready for your confirmation.


Confirming Receipt of Shipment

Click Receive Shipment

When goods arrive, click the Receive Shipment button. The "Confirm Shipment Received" modal opens.

Received By Information

The modal pre-fills with your details:

  • First Name: Your first name (e.g., Mark)

  • Last Name: Your last name (e.g., Musk)

  • Phone Number: Your contact number

  • Email Address: Your email

Note: All fields are editable in case someone else received the delivery on your behalf.

Add Shipment Comments (Optional)

Text area: "Tell us about the shipment you received (OPTIONAL)"

Add comments about:

  • Condition of goods received

  • Any damages or issues noted

  • Packaging quality

  • Delivery timing or service

  • Special notes for records

This field is optional, leave blank if no issues to report.

Upload Proof of Delivery (Optional)

Drag and drop photos or click to select files showing:

  • Delivered goods at your location

  • Package condition upon arrival

  • Warehouse receipt area

  • Signed delivery receipts

  • Item condition verification

Supported formats: JPG, PNG, PDF. Multiple photos can be uploaded.

Confirm Shipment

Click the green Confirm Shipment Received button to finalize. Click CANCEL if you need to exit without confirming.


What Happens After Confirmation

Received By Section Appears

After confirming, a "Received By" section displays on the delivery page showing:

  • Recipient name who confirmed

  • Timestamp of confirmation (e.g., 9/26/2025 11:28:52 AM)

  • Company affiliation

  • Uploaded proof of delivery photos (if provided)

Status Updates

  • Delivery Record status updates to Received (buyer view) or Completed (seller view)

  • Purchase Order status may update to Received if all items delivered

  • Sales Order status updates to Fully Delivered on supplier side

  • Supplier receives notification that delivery was confirmed

Email Notifications

Both you and the supplier receive email notifications confirming the shipment was received successfully.


Proof of Delivery

Why Upload POD?

Proof of delivery documentation is useful for:

  • Refund or return claims if issues arise

  • Insurance claims for damaged goods

  • Dispute resolution with suppliers

  • Quality control records

  • Compliance documentation

  • Internal audit trails

Note: Uploading proof of delivery is optional but recommended for high-value shipments or items requiring verification.

Proof of Delivery (POD) Storage

All uploaded proof of delivery photos are stored securely and linked to the Delivery Record. Download POD files anytime from the delivery detail page.


Receiving via Magic Link (No Login Required)

For Non-Quotable Users

If you don't have a Quotable account or the delivery is going to someone else (employee, contractor, branch office), they can confirm receipt via magic link.

How It Works

Supplier updates delivery to Delivered status. Recipient receives email with secure magic link to confirm receipt. Recipient clicks link (no login needed), enters their information, optionally uploads proof of delivery, and clicks confirm. Delivery status updates automatically.


Tracking Multiple Deliveries

Partial Deliveries

If your Purchase Order is split into multiple shipments, you'll receive multiple Delivery Records. Confirm each delivery separately as items arrive. PO status updates to Partially Received until all deliveries are confirmed.

View All Deliveries

From your Deliveries dashboard, track all incoming shipments. Filter by status (In Transit, Delivered, Received) to prioritize confirmation actions.


Verifying Delivered Items

Check Against PO

Before confirming receipt, verify:

  • Quantities: All ordered items delivered

  • Products: Correct items match PO specifications

  • Condition: Goods arrived undamaged

  • Completeness: All components or accessories included

Report Issues

If there are problems (missing items, damages, wrong products), note them in the optional comments field when confirming. Follow up with supplier immediately via email or phone.


Best Practices

Confirm Promptly

Confirm deliveries within 24 hours of receipt. Timely confirmation allows suppliers to close orders and process final invoicing.

Verify Before Confirming

Inspect goods before clicking Confirm Shipment Received. Once confirmed, it signals acceptance of the delivery.

Document Issues

If goods are damaged or incomplete, upload photos as proof of delivery showing the issues. Add detailed comments explaining problems.

Update Recipient Info

If someone else received the delivery, edit the First Name, Last Name, Phone, and Email fields to reflect the actual recipient.

Receiving deliveries is simple with real-time tracking, easy confirmation workflows, and optional proof of delivery uploads. Confirm receipt to close the order cycle and maintain accurate records of all goods received.
