Compare all submitted supplier quotes side-by-side in one unified view. See pricing differences, identify best value, mark top quotes for approvers, and make informed purchasing decisions without spreadsheets.

What is Quote Comparison?

Quote comparison allows you to review all supplier proposals for your RFQ in a single, organized interface. Instead of manually transferring quotes to spreadsheets, Quotable displays all submissions side-by-side with automatic calculations showing price differences, savings, and best value recommendations.


Accessing Quote Comparison

From RFQ Dashboard

Open your RFQ and click View Quotes or the quote count indicator (e.g., "Quotes received 3"). The comparison view opens showing all submitted quotes.


Compare Quotes Button

Click the Compare Quotes button to access the detailed side-by-side comparison table.


Quote Comparison View

Your Requirements (Left Column)

  • Item No.: Line item numbers from your RFQ

  • Requested Qty: Quantities you need

  • Units: Unit of measure (pc, box, set)

  • Products/Services: Item descriptions with images

  • Budget: Your allocated budget per line item

Supplier Columns

Each supplier's quote appears in its own column showing:

  • Supplier Company Name and logo

  • Contact Person name

  • Email button to contact supplier

  • View button (eye icon) to see quote details

  • Star icon to add to Top Quotes

  • Notes: Supplier comments or "NO NOTES PROVIDED"

  • Qty, Sales Price, Total Cost per line item

  • Checkmark or X: Item match indicator

Pricing Indicators

  • Green with down arrow: Price below budget or lower than competitors

  • Red with up arrow: Price above budget or higher than competitors

  • Checkmark (✓): Supplier can provide the same item as requested

  • X with info: Supplier proposing alternative item with explanation

Quote Comparison Actions

Email Supplier

Click the Email button next to supplier name. Your computer's default email client opens with supplier's email pre-filled. Alternatively, right-click the Email button to copy the supplier's email address.

View Quote Details

Click the View (eye icon) button to open the complete quote details. See full line items, payment terms, delivery timeline, supplier notes, and all quote information.

Add to Top Quotes (Star)

Click the Star icon to mark a quote as a Top Quote. Top Quotes are quotes you want to show to approvers for their review and decision. Quotes without a star will not be shown to the approver.

Add Approver

Click Add Approver to send selected Top Quotes for approval. Enter approver's first name, last name, and email. Click Send to notify them. Approvers receive email with access to review only the starred Top Quotes.


Summary Panel

The summary panel shows:

  • Budget: Your total allocated budget

  • Top Quote From [Supplier Name]: Lowest total quote amount

  • Second Best Quote from [Supplier Name]: Second lowest amount

  • Difference Between Quotes: Price gap between top two

  • Savings from Budget: How much you save with recommended quote

"Highly Recommended" label with "Accept Quote?" button appears for best value supplier.


Totals and Calculations

Per Supplier:

  • Sub Total (all line items)

  • Additional Cost (shipping, handling)

  • Total Amount (INITIAL) before tax

  • VAT (e.g., "12% Standard-Rated")

  • Total Amount (FINAL) including tax

  • Terms of Payment

All calculations are automatic, compare final amounts across suppliers instantly.


Making Your Selection

Review All Quotes

Scan supplier columns to compare item-level pricing, total costs, payment terms, delivery commitments, and check for checkmarks (exact match) vs X (alternative items).

Mark Top Quotes

Star the quotes you want to present to approvers. Only starred quotes will be visible to approvers for decision-making.

Send for Approval (Optional)

Click Add Approver, enter approver details (first name, last name, email), and click Send. Approvers receive email with access to review only your starred Top Quotes.

Accept Quote

Click Accept Quote? button on your chosen supplier. Creates Purchase Order automatically with all quote details. Supplier receives PO notification.


Creating Purchase Orders

Single Supplier Selection

Accept one supplier's quote to create a single PO for all items. Click Accept Quote? and the system generates the PO.

Multiple Supplier Selection

Create POs with different suppliers for different items. Accept quotes from multiple suppliers. Each acceptance creates a separate PO for that supplier. Useful for splitting orders to get best pricing per category.

Direct PO Creation

From individual quote detail view, click Create PO to generate Purchase Order. All quote data auto-populates into the PO form.

Understanding Item Matching

Checkmark (✓)

Supplier can provide the exact same item you requested. Product matches your specifications perfectly.

X with Information

Supplier is proposing an alternative item. Hover or click to see details about the alternative product they're offering and why it differs from your request.

View RFQ History

View RFQ History is an auditing feature of Quotable. View every action related to your RFQ from both your team and suppliers participating in the quotation.

From any RFQ detail page, click the View RFQ History link (displayed in green). The Request History Logs panel opens showing complete audit trail.

What's Tracked in RFQ History

Request History Logs

The history log displays all actions in chronological order with:

Column Headers:

  • Date: Timestamp of when action occurred (e.g., "Thu Aug 11 2025 6:14:37 PM")

  • Action: Type of action performed (e.g., "RFQ viewed," "RFQ Call Notification," "RFQ Edited")

  • Company: Company that performed the action (with company logo)

  • User: Name and email of person who took the action

  • User Type: Role indicator (BUYER, SELLER)

Actions Logged

  • RFQ viewed: When suppliers or buyers view the RFQ

  • RFQ Edited: When you or your team edit the RFQ

  • RFQ Call Notification: When notification calls are triggered

  • Quote submissions: When suppliers submit quotes (linked to quote details)

Why Use RFQ History?

Audit Trails

Maintain complete audit trail for compliance, internal reviews, and procurement documentation. Track who did what and when.

Team Accountability

See which team members edited the RFQ, sent notifications, or took actions. Useful for team collaboration and accountability.

Supplier Engagement

Track which suppliers have viewed your RFQ and when. Identify engaged suppliers vs those who haven't opened your request yet.

Compliance Documentation

Export or reference history logs for procurement audits, policy compliance, or dispute resolution.

Approval Workflow

Top Quotes for Approvers

Only quotes you mark with a star are shown to approvers. This filters down options so approvers review only your recommended choices, not all submissions.

Add Approver Modal

Enter approver information:

  • First Name

  • Last Name

  • Email address

Click Send to notify them. Multiple approvers can be added if needed.

Approver Review

Approvers receive email access to review starred quotes. They can approve, reject, or request more information before you proceed with PO creation.


Result

Quote comparison eliminates spreadsheet work with side-by-side pricing, automatic calculations, and instant savings identification. Mark top quotes for approvers, split orders across suppliers, and create POs directly, all from one comparison view.

Tips

  • Click View (eye icon) to see complete quote details

  • Create POs with multiple suppliers by accepting each quote separately

  • Green arrows indicate better pricing than budget or competitors

  • Red arrows show higher pricing, good candidates for negotiation

  • Use Top Quotes feature to streamline approval process

  • Summary panel calculates savings automatically

  • Accept Quote button creates PO instantly with all data
